Every legitimate janitorial bid is built from the same math: cleanable square footage, frequency, fixture count, floor type and labor rate. Two 10,000 sq ft buildings can differ by 60% in monthly cost if one is open-plan carpet cleaned twice a week and the other is a medical suite with hard floors cleaned nightly.

  • Cleanable square footage — not gross. Warehouse racking, mechanical rooms and unfinished space come out of the number.
  • Frequency — nightly (5x), 3x weekly, 2x weekly, weekly, or periodic. Frequency is the single biggest lever you control.
  • Fixture count — restrooms and break rooms carry the most labor minutes per square foot of anything in a building.
  • Floor type — VCT that needs stripping and waxing, polished concrete, LVT and carpet all carry different periodic programs.
  • Specialty requirements — medical waste handling, food-safe protocols, security clearances, day porter coverage.

A scope sheet that lists tasks by frequency is non-negotiable. If a proposal is a single monthly number with no task list, you have no way to hold anyone accountable and no way to compare it to the next bid.

Ask for the periodic schedule in writing too — carpet extraction, floor stripping and waxing, high dusting and window washing are usually quoted separately and it is worth knowing whether they are included or billed extra.

The most common waste we find when we walk a building is frequency mismatch: five nights a week of full service in a space with three-day-a-week occupancy. Post-pandemic occupancy patterns changed and most contracts never did.

The second is paying nightly rates for periodic work that could be scheduled — floor care, high dusting and detail work bundled into a standing rate is almost always more expensive than a scheduled program.
